Tip for protecting your email attachments

Whether it’s an office setting or sharing information from home, we all deal with protecting information every time we touch a computer. In many cases, your employer will have strict rules and the tools necessary for protecting files you may need to share, such as Microsoft Word or Excel files. If that’s the case, great. But what if you don’t have anything in place to protect email attachments, then what ? Starting with Windows 7 and newer, Microsoft no longer includes a tool to password protect a zip file so additional software must be installed on your computer to allow this functionality. Here’s several popular methods that you can put to use… Two popular choices are the free program 7-zip or the commercial program Winzip.     7-zip Install 7-zip Go to www.7-zip.org and download the "exe" shown towards the top of their website Follow the usual download and install instructions Instructions using 7-zip Open the 7-Zip File Manager (start menu, desktop short cuts, etc). This works much like Explorer Navigate to the file you want to protect Right click and select 7-Zip and either "Add to archive..." or "Compress and email..." and it will bring up the security and compression settings Suggested settings    Archive format is set to = zip    Enter the password you want to assign    Encryption method = ZipCyrpto The zipped file will be created in the same folder that the original file was located.   The password used will be required to open the file inside the zipped archive. If you choose "Add to archive...",  open Outlook and compose a new e-mail. Attach the password protected zipped folder.  Be careful not to accidently attach the original file.   WinZip Install WinZip Go to www.winzip.com and follow the usual download and install instructions Instructions using WinZip Locate the file or files you want to send as an attachment. Highlight the file or files, then right-click the file name and select 'WinZip', then 'Add to Zip File'. Check the box labeled 'Encrypt added files'  Click the 'Add' button Type the password you want to use to secure the files, confirm the password, and then click 'Ok'. A new zipped folder will appear in the same location that the original file is stored. The zipped folder contains a copy of  the original files  Open Outlook and compose a new e-mail. Attach the password protected zipped folder.
